Meeting Minutes

January 11, 2006

Present:Summer Dyer, Christina Dothager, Miguel Escalon, Keneeshia Williams, Harish Yalamanchili, Turkia Abbed, Danielle Tomevi, Tricia Huie, Colleen Dickinson, Stacey Hughes, Alison Palumbo, Aswin Krishnamoorthy, Graham Huesmann, Alina Huang, Jim Hall

  1. Officer Reports:
    President – Colleen Dickinson
    • Encouraged attendance at meetings.
    • Encouraged help from members with events. UMSG representatives should be present at UMSG events to support committee efforts.
    • Requested February meeting to be scheduled before the 18th in order to elect a new UMSC representative before the UMSC meeting.
    Vice-President – Harish Yalamanchili
    • Resigned from UMSC representative position. Originally named Bryce Ching as his replacement, but this was not in accordance with UMSG constitution. Instead, UMSG will elect a new representative selected from the entire student body.
    • Currently working with Physicians for Social Responsibility (PSR) to establish a project to improve food options offered at local middle and high schools.
    Secretary – Summer Dyer
    • We now have access to MedCalendar. Using this program, UMSG can add committee meetings and events to the student calendar. Contact Summer to add an event/meeting date.
    • Requested committee reports from committee chairs at each subsequent meeting.
    Treasurer – Miguel Escalon
    • Current Share Draft Balance: $9,825.04
    • Current Share Savings Balance: $44.72
    • Payment to Campus Sportswear for apparel ($4149.00) has not yet been subtracted from checking account balance. Estimated profit from apparel sale will be approximately $3000.00.
    • Will establish budgets for committee events during upcoming Officers' meeting.
  2. Faculty Committee Reports:
    University Medical Student Council (UMSC) report by Colleen Dickinson
    • UMSC meeting held in Peoria on December 3, 2005. Members discussed in-depth the issue of insurance for students at Peoria and Rockford campuses. Representatives from insurance carrier were on hand to answer questions and present updates to previous coverage.
    • Next meeting: February 22 in Urbana at MSB. All students are invited to attend. UMSG members are strongly encouraged to attend.

  3. 2005-2006 UMSG Committees and Election of Committee Chairs
    Fundraising Committee
    • No report presented.
    Auction Committee report by Keneeshia Williams
    • Date of auction: Monday, January 30 at 7pm. Items up for auction will be available for viewing at 6:30pm.
    • Location: Guido's. Food and beverage services for students provided by Guido's is still being negotiated.
    • Keneeshia is collecting items and putting fliers together. Collection of items up for bid has thus far been successful (included a plane ride, dinner with faculty, etc).
    • Dr. Jim Slauch has agreed to serve as auctioneer.
    • Currently inviting faculty and students. Students are encouraged to invite their CPP advisors as well.
    • A portion of the proceeds will go toward a Hurricane Katrina Relief fund. The rest will be used for Spring Formal and Family Day events.
    Variety Show by Alina Huang
    • Tentative date and time: Saturday, April 15 at 7:30pm.
    • Tentative location: Lincoln Hall.
    • Still accepting students for auditions. 15 act maximum, each performance lasting 2-5 minutes.
    • Will hold two rehearsals: 1) TBA, 2) Full dress rehearsal, Tuesday, April 11.
    • Hope to offer baked goods during intermission (provided by student volunteers).
    Spring Formal Committee report presented by Danielle Tomevi and Trishia Huie
    • Committee Members: Jim Wrzosek, Ingrid Knaus, Lori Schwartz, Rhiannon Groom.
    • Date and time: Friday, March 31st, 7-12pm.
    • Location: Kennedy's at Stone Creek.
    • Cost: $15.00 per person. Includes dinner, non-alcoholic and alcoholic beverages.
    • DJ has been contracted - $600.00 for the night. Same DJ as was used last year.
    • Looking into planning an after-party for students.
    • Would like to offer shuttle service for students from Kennedy's to after-party and home. In need of designated drivers to use rented university vans for student transport.
    • Theme: "_____ in Paris" (ex: "A Night in Paris", "An Evening in Paris", etc). Will be decided upon later by committee.
    • Fundraising: Pie in the Face contest (pie toss at faculty - professors TBA)
    • Questions as to how to purchase invitations, favors: could be reimbursed, or use check from UMSG. Tax exemption information available from Gwen in Business Office.
    Family Day Committee report by Summer Dyer
    • Committee Members: Summer Dyer, Erin Barkau, Tracy Flood, Jen Gushurst, Kristine Kaiser, Jessica Madden, Alison Palumbo, Nicci Parker, Brian Pottorf
    • Date: Sunday, April 23 (with events from other committees, organizations to be held Saturday, April 22).
    • Tentative time: 9:30am-4pm.
    • Location: Medical Sciences Building.
    • Committee has started the initial planning for the Family Day event. Activities will include breakfast reception, displays from student organizations, speakers, mock faculty lectures, student-guided tours, and interactive activities.
    • Currently seeking faculty and staff willing to present/lecture at event.
    • Will be sending invitations to directly to parents. Students may request additional invitations for other family members. Invitations will include a RSVP card, to be returned by March 31.
    • Establishing activity/course stations for the student-guided tour. Examples include a histology lab stations, a microbiology lab station, a tour of the library and HUB, an MSP booth, and possibly a station for family photos.
    • Looking into meal options for both breakfast reception and lunch. Would like to provide bagels/pastries/coffee for breakfast and perhaps sandwiches or catered lunch for the afternoon.
    • Inviting other student organizations to either provide displays and representatives in the morning, or to set up stations to sell items, etc.
    • Collecting photos for a "Day in the Life of M1 students" photo slideshow.
    • Need to establish a budget for event before more planning can continue (will discuss during Officers' meeting).
    • Working with SNMA and Variety Show committee to organize events for the entire weekend - SNMA in the past has held a Wine and Cheese event the night before the Family Day event.
    • Next committee meeting: January 31.
    Apparel Sale report by Summer Dyer
    • Apparel Delivery
      • Apparel items delivered late (Dec 7 instead of Dec 6)
      • Not all items arrived - no embroidered apparel
      • Some embroidered items arrived Dec 8 - remaining embroidered items were either never received or arrived Dec 16
      • Remaining missing items were mailed to students via Tom at Campus Sportswear (he paid for shipping). Still missing some items.
    • Financial Concerns
      • Total payment to Campus Sportswear (initial): $5731.00
      • Deduction for incorrectly printed apparel (50% off shorts and t-shirts with design H): $150.00
      • Deduction on entire order (25%): $1432.00
      • Total payment to Campus Sportswear (final): $4149.00
    • Sale Summary
      • Profit estimate: $3800.00
      • Order sheets and online ordering link sent directly to parents and availability of online ordering both increased sales markedly. Still necessary to find an alternative to Paypal after the numerous difficulties encountered this year.
      • Interactions with Tom at Campus Sportswear were a disaster (difficult to reach him, never returned phone calls, late with all deliveries, rude). He has recently purchased an embroidering machine of his own - believes this will resolve issues we experienced this year with late arrival of embroidered items. Regardless, I would highly recommend using another supplier for future sales.
    Clinical Research Committee report by Graham Huesmann
    • Committee's website is now established: http://www.med.uiuc.edu/studorg/ccr/. Will provide listing of over 100 laboratories for students to choose from. Also contains guidelines for contacting faculty and a section on stipends and fellowships.
    • Rockford campus has provided a list of laboratories available to students. Peoria campus is still establishing working relationship with CCR.
    • Committee hopes to petition the university to apply for a one-year fellowship for medical students to perform research.
    • Next meeting: January 23. Dean of Peoria campus will be meeting with CCR to discuss the group's goals and how Peoria will become involved.
    Community Service Committee reported by Colleen Dickinson
    • Community Blood Pressure Check: Colleen contacted mall representatives, was directed to contact again after the holidays.
    • Would like to schedule BP check sometime in early February.
    • Equipment is available from Carle Forum.
    • Will need M3s, M4s, RNs, MDs, EMTs to oversee activities.
    • Before the event, M3s/M4s will be responsible for teaching M1s to take blood pressures.
    Cadaver Memorial Committee report by Kia Abbed and Stacey Hughes
    • Cadaver Memorial Service date: Monday, May 8 (date of final Anatomy exam).
    • Location: 3rd floor of Illini Union.
    • First committee meeting will be held Friday, January 13.
New Orders of Business

Humanism in Medicine Award

  • Nomination of faculty member (MD), 1 from each UIC site. Aikiesha Shelby will be responsible for the nomination from Urbana campus. One nominee will be selected from all four sites to represent UICCOM in national competition.
