Sorry for the late notice, but here are the small group meeting times for Thursday Jan 31. We shouldn't take the whole time for each slot:
1:45-2:15 Publicity/Reg/Web
2:15-2:45 Student Speakers and AV
2:45-3:15 Faciltities and Poster
3:15-3:45 Social and Keynote
I have attached the composite of the committee so you know which group you are in. I will send a few follow up emails to committees with notes before the meeting.

Also if you don't see yourself on the composite, let me know. If you want to be on committee and are not yet, let me know. If you want me to remove you from this list, let me know.

Hello All,
I know a couple of you weren't able to make the meeting on Thursday. Sharon was able to make it though and we were able to discuss several points.
-We need a person in charge of making the slideshow to play at lunch. We have lots of COM official pics but also need the slideshow to have pictures from students (appropriate of course). The slideshow plays at lunch and at the reception. Other things to consider are music from students and even video clips. It is a lot of work to get the pictures from students so starting early is best. The goal is to have abou15 min.
-A couple of you need to think of a lunch activity or ice breaker. Nothing mandatory, but fun. If you need supplies, let us know.
-Could we have music during lunch or the reception. The variety show had a lot of talent. Perhaps one of you could approach our resident musicians to play.
-The poster scavenger hunt is a fun way to get people actually into the poster room. One of you could take on that.
 
I will leave it up to you guys to divide tasks. Also be creative. If you have other idease, let me know.

Ok guys, here's the plan. I'll make the posters, and then leave some
for you to hang up in your mailbox in the hub. It seems to me that all
of us are busy at different times this week, so I think that would be
the best way to get things done. At the end of the email, I have
assigned each of us an area to hang up posters... be creative! Maybe
we can do the inside of bathroom stalls? I know that was extremely
effective in college... I don't know if it's allowed now. The coffee
room? Let me know!


Also, Smita emailed me the template for the invites, so we should
think about that soon... I will email a preliminary invite and then we
can finalize it through email and get it off to printing.

Seetal: working on the posters and the invites... but let me know if
you can't do your area, and I'll cover... and hang wherever I think is
lacking.

Let me know if anyone else has other ideas for what we should do/ how

Also, ideas for the banner in the hub are more than welcome!

Let me know if you want to talk in front of the class at some point. I
feel like we should do this several times before registration ends.

Hello Committee,
I met with Tana and Ephraim Thursday. Ephraim will track 3 of the student speakers and Tana will track the other 2-3. Once the residents are chosen to speak, each  of you will have 3 residents to track as well. Tana is making the tracking sheet-- can you send it out to the group when it is done? David I am going to ask you pair up with Tana and Ricky you with Ephraim in tracking the speakers.
 
Closer to the date (Perhaps around April 7), we will need to set up 2 nights of rehearsals.
 
I am also CCing the clinical chairs (Stacey and Sandeep) since they may help to give feedback at the rehearsals with their clinical knowledge. I am also CCing the AV committee (Erich) because they will have to get the presentations together.
 
Amanda, as you get word of the student speakers please pass it along to the 4 chairs.
 
Just making sure we are on the same page.
